Clerkship Rotations PDFDownload to print

Emergent Reasons: For student or immediate family illness or emergency, students should seek approval from the clerkship director by telephone and then submit documentation and request for time-off form (which must be obtained by contacting the college’s Office of Student Academic Services) within 24 hours upon their return.

Non-Emergent Reasons: For non-emergent leaves, students must submit paperwork to the program director and the Office of Student Affairs six weeks before the requested leave time.

Examples of non-emergent situations:

  • Observance of a religious holiday
  • Presentation at a professional conference
  • Participation in the Centralized Residency Interview Program (CRIP) interview process
  • APMLE Examinations (written and CPSE)

Request for time-off for non-urgent personal reasons such as weddings, reunions, etc., are not usually approved by clerkship directors, but may be reviewed if the appropriate request for time-off form is submitted to the clerkship director and the Office of Student Academic Services.

For non-emergent leaves, students must submit paperwork to the program director and the college’s Office of Student Academic Services six weeks before the requested leave time. All absences must be requested in advance with the full knowledge and permission of the external program director and the Office of Student Academic Services.

In order to begin the approval process for a non-emergent absence, students must obtain a request form from the Office of Student Academic Services. The form must then be presented to the clerkship director for approval. Once the clerkship director has approved and signed the request, the form must be sent to the Office of Student Academic Services for final approval. If all of these steps are not completed in full, the absence will not be considered approved.

Only the clerkship director may approve an absence. Residents or faculty directly working with students are not permitted to approve an absence.

Students are not permitted to interrupt their clinical rotations for vacations, mission trips or other types of unapproved clinical experiences.

Tardiness

Student tardiness to any of the activities of an external rotation—including conferences, clinics, lectures, rounds or other patient care activities—constitute a professional standards violation. Repeated incidents will result in disciplinary action including notice of professionalism deficiency.

Clerkship directors will be so advised to report all tardiness and requests to leave the program to the college’s Office of Student Academic Services. Absences and tardiness will be reported as part of the student evaluation.

See Clerkship Handbook for this and all other policies regarding clerkship rotations.
